Scope
It is possible to send subject emails to all or some subjects in a job. These emails can be sent to either the subject or the customer email addresses, where present. Several filtering options are available, giving the user control over which subjects should receive an email. Examples include:
Send subject keys to all subjects, excluding the staff folder
Select only subjects who have images
Email customers who have previously placed an order
Prerequisites
Before emails can be sent, tsPortal will need to be configured with SMTP credentials that are entered into the tsPortal Preferences (Edit>Preferences).
Setup tsPortal for Email Sending
It is also strongly recommended that the user be familiar with sending single emails to subjects or customers before attempting to send bulk email. This article assumes the user has become familiar with the material covered in the related document and video:
Sending bulk emails
Emails are sent via Jobs Mode and the Subjects report - Jobs Mode> Reports> Subjects. The pop-up window lists all subjects in the job and allows the user to filter the subjects before sending emails.
Find the job in Jobs Mode
Select Reports> Subjects
Filter the list of subjects as needed
Optionally, exclude individual subjects by checking the Exclude column
When ready, click the Email icon on the toolbar
Select whether to send emails to subject or customer email addresses
The composer appears and pre-fills the first email address; compose the email as needed with @codes to personalise the emails
Click Send
Note
Although it is possible to bulk send emails to customers in the job, the emails are subject based emails meaning the data available through @codes is limited to those that retrieve subject level data. This concept and the list of available @codes is available in the document:
The filters
Several filters are available to control which subjects should be selected.
Orders: Has Order / No Order
Images: Has Image / No Image
Email address: No email / Has email / Has subject email / Has customer email
Folder: No home folder / Specific home folder
All filters also have an ‘all’ (*) option. A free text search is also available to find subjects.
Excluding individual subjects
Checking the Exclude column for a subject will stop them from receiving an email, even if they are part of the filtered subjects.
